New Client Import

Beegle has the capability to set up a new client group through the use of AI, reducing the time taken to add a new client to Beegle to  matter of minutes. The services will populate the client records with all of the following details it finds in the supplied PDF's:

  • Individuals
  • Entities
  • Estate Planning
  • Risk Profiles
  • Goals
  • Strategies
  • Key Dates
  • Accounts
  • Properties
  • Personal Assets
  • Personal Insurances
  • Insurance Needs Calculations

New Client AI Import Instructions

In order to use this feature, follow these steps:

  1. Create the client group. Refer to this page for details. 
  2. Activate the subscription for the new client group by clicking the 'Activate Subscription' button on the page that loads, or per these instructions. 
  3. From the same page where a client group subscription is activates (step 2), click the 'PDF Data Imports' button. 
  4. Click 'New Import' and follow the instructions to upload PDF's to be processed. 

    When using this service, all existing data for the client group will be permanently deleted. This import service is only intended for setting up new clients. 

  5. The import service will make a note of records created for the client group, as well as any errors that arose or where default values get assigned due to information not being found in the uploaded documents. 

 

Tips and Tricks

  • Due to limitations with our AI provider, a maximum of 5 PDF's can be processed. If you have more than 5 files, you can merge them using PDF tools, with many free options available. 
  • The AI import and processing runs in the background, so you can continue using the Beegle app with other clients while it is running. 
  • For best results we recommend uploading:
    • Latest Statement of Advice
    • Latest Client Data Form/CDF
    • Latest meeting file note
    • Superannuation and investment statements (merged into one PDF)
    • Personal Insurance Statements (merged into one PDF)
  • Where statements are provided with different dates, and therefore different valuations for the same accounts, the AI will attempt to identify the latest valuation to record. 
  • The AI cannot read password protected PDF's. These will need to be opened, then printed to PDF to remove the password. We have found Firefox's print to PDF is the most reliable.
